Recently, Zorgpunt Waasland developed such a reporting system with the expertise of BDO Belgium. So, how do you transform a collection of scattered Excel documents into a consistent and streamlined process?
Well-defined KPIs as a solid foundation
With over 1,600 employees, Zorgpunt Waasland is one of the largest players in the Belgian healthcare sector. Its wide range of services (residential care, home care, day care centres, assisted living…) and broad geographical reach presented challenges in data management and processing. To create a clear dashboard and keep a finger on the pulse, BDO first helped the organisation define the right parameters.
Liesbeth Van Raemdonck, policy officer at Zorgpunt Waasland explains: “We started by identifying the KPIs for the three main pillars of our organisation: the financial department, HR and care services. It was a complex exercise, but crucial for the project’s progress.” After agreeing on the basic structure and visual presentation, the reporting system was brought to life.
The results of the reporting
Danny De Roeck, Financial Director: “The greatest value of the report lies both in the global overview it gives of our organisation and in the detailed analysis of each local service. All the information is centralised in one place, allowing us to report quickly and efficiently to our Board of Directors, government bodies, or management. It also helps us identify the key trends within our organisation.”
Of course, not every aspect of such a large project runs smoothly. For example, the implementation currently creates extra work for staff who input and transfer the data. “There’s still room for more automation, but some software providers do not yet allow data exchange with the dashboard,” adds Liesbeth Van Raemdonck.
